- Metadata editing (date taken, comments, tags, etc.)
- Easy backup options
- A user-friendly interface. Remember, you want to love using your chosen program, so make sure you enjoy using it!
Pitfalls to Watch Out For

- Having them in too many places: While it’s good to have backups of your photos, having them in too many places can lead to confusion and make it difficult to find the version you need. You should clean up all the old, unused accounts and places you have photos stored.
Types of Photo Management Options
There are four main types of photo management options:
1. File Manager
- File Explorer for PC and Finder for Mac – these programs are already installed on your computer
- Dropbox, OneDrive, iCloud, and even Google Drive – are all potential photo management options for you as well in your File Explorer or Finder. They are syncing up to the cloud so that you have them backed up. Possibly even accessible on your smartphone.
2. Online Photo Management
These programs allow you to store and manage your photos online, and accessible from anywhere with an internet connection. If you have a smartphone, chances are you are using Apple Photos or Google Photos to back up your smartphone pictures

These are full programs installed on your computer and require you to import your photos directly into the program. Then, you can organize, edit and more with the program. When you want to use the photos or share the photos, usually, you’ll have to export them from the program.
- Apple Photos comes installed on Mac computers and is a good option.
- Mylio has a beautiful interface and we’ve enjoyed using it over the years.
- Other programs include: Forever Historian, Magix, Systweak, Eagle.Cool, Phototheca, PicaJet, Zoner Photo Studio X, and Movavi Photo Manager (currently, I cannot find this online.)
Keep in mind that not all photo management options are created equal, and some may require a serious commitment and learning curve.
- Adobe Lightroom Classic, ACD Systems, Photo Mechanic, and Digikam – these are advanced programs that offer powerful tools and capabilities for managing and organizing your digital photo collection.
